Understanding Yeastar Call Recording


Yeastar Call Recording Minutes are allocated to the system


Call Recording Minutes account for both the recording and the storage of the recordings on the local drive of the system


Example 

200 minutes have been allocated to the system

The system will allow you to record and store 200 minutes of recorded calls

When the 200 minutes is reached, the oldest recorded calls will be deleted and replaced with the newly recorded calls


Auto Clean Up

The auto clean up in the system is used to manage the recorded calls


When it reaches 90% of the maximum preservation days, the Auto Cleanup Reminder event will be triggered, the system will notify contacts concerned via specific methods.

When it reaches the maximum preservation days or recording capacity (recording minutes), the oldest recording files will be deleted


Auto Clean Up in the Yeastar is an important part of the Yeastar solution

Time should be taken to read and deploy the settings in Auto Clean Up required for the system. Be aware that Auto Clean Up has settings for (but not limited to) the below


  • CDR
  • Call Reports
  • Recording Files
  • Recording Logs

Remote Archiving

Remote Archiving can be used to free up recording minutes stored on the local drive by moving the recorded calls from the local drive to an external location (example Amazon S3 bucket)

It requires the below




Example

200 minutes have been allocated to the system

The system will allow you to record and store 200 minutes of recorded calls

If the system used 120 minutes of recorded calls and the remote archiving is set to run daily, then the 120 minutes of recorded calls will be moved from the local to the external location

Resetting the available recording minutes/storage to 200


However

If the system used 230 minutes of recorded calls in that day

Then it would have reached the 200-minute allocation and started to delete the oldest to allow the newest to be recorded. (the first 30 minutes of recorded calls is now lost)

Which would mean when the archiving takes place at the end of the day it would move 200 minutes from the local to the external location

Resetting the available recording minutes/storage to 200


To prevent the loss of recorded calls, the allocation of Recording Minutes would need to be increased on the system



Best Practice


  • Calculate how many minutes per day calls need to be recorded for (add on a buffer)
  • Allocate those recorded minutes to the system
  • Setup the Archiving daily
  • Check and confirm the Auto Clean Up settings meet the requirements
  • Test and confirm working as required
