Enter an email address to be used as the admin for the Avaya Spaces account.
NOTE: this email address could be a user, however it is recommended to use a generic/specific company email address. It can be managed by multiple users and will not cause issues if a user leaves the company as its not specific to a username.
Select Yes, Sign Me Up.
An activation email will be sent to the email address used.
Select Confirm on the activation email received.
Enter the details of the user for the email account.
Select Create Account.
Select User Settings
Confirm the details of the user.
Confirm the time zone is correct.
Select Save.
Select the Username at the top right
Select Add Company
NOTE: multiple companies can be setup under the one Avaya Spaces account, as a dealer it is recommended to setup your end customers as Companies under your Avaya Spaces account so you have access and can manage them
Enter a company name and select Save.
NOTE ON SETUP OF APPS BELOW: Sometimes once text is entered in JSON, when accessing the app again the text doesn’t show in JSON, you can select Plain Text to view and confirm the text is there
Enter the below in the Public Settings box (update with the customers FQDN or Public IP, this will match the FQDN programmed in the Avaya IPO System FQDN programming) and select Save.

Select Avaya IX Workplace from the Product List.

Select Apps, Configure New App.
Select Avaya Spaces and select Save (nothing needs to be configured).
Select Back to Manager Apps.
Select Apps, Configure New App.
Select Avaya Spaces (nothing needs to be configured).
Select Save, then select Back to Manager Apps.
Select Apps, Configure New App.
Select Avaya Mobile Push Notification Service (nothing needs to be configured).
Select Save, then select Back to Manager Apps.
In Apps you should now see the 3 entries.
Note there might be additional app entries in here for other products, such as Communicator for Web, Avaya Calling for Teams, Avaya Spaces Calling Extension. These do not need to be edited and are not covered in this guide.
Select Domains, Add Domain
Enter the customers domain name.
Note the domain will match the domain used in the email addresses that will be assigned to this company in Avaya Spaces.
The domain requires verification.
Select Verify.
Follow the instructions to verify the domain in the DNS records (consult the customers IT)
Once this has been completed, select Verify.
Confirm the Domain verification is successful and the Verify option is no longer available.
Avaya Spaces Sync with IPO
In Avaya Spaces select API Key and Add API Key.
Select IPOFFICE and Add API key.
The API Key and Secret will be displayed.
In Avaya IPO Web Manager.
Select Security, Security Settings.
Select System.
Copy the API Key from Avaya Spaces and paste into the Avaya Spaces API Key box.
Copy the API Secret from Avaya Spaces and paste into the Avaya Spaces Key Secret box.
Select Update.
Confirm Messaging Server is set as Avaya Spaces.
Select Update.
You do not need to edit this.
In Web Manager.
Select Avaya Cloud Services.
Enter a profile name.
Enable Avaya Cloud Account.
Account URL: accounts-ipo.avayacloud.com (if using an IP500v2).
If using an IPOSE then the URL should be accounts.avayacloud.com
Enter the Company Domain to match the domain validated for the company in Avaya Spaces.
Enable user sync.
In Web Manager.
Select Call Management, Users.
Set the Unique Identity as the email address of the user (the domain of the email will need to match a verified domain in Avaya Spaces).
Set a Password for the user and assign the Profile as the required license (example Power User).
The Users in IPO will be synced to Avaya Spaces.
An email will also be sent to the users email address, asking them to sign up to Avaya Spaces
Workplace Softphone Login
Install and open Workplace (note if using self-signed certificates then you will need to install the certificate on the device).
Select Configure my Account.
The email will be checked in Avaya Spaces.
You will then be prompted to login to Avaya Spaces (using your email and Avaya Spaces password)
Select Sign In.
Additionally, you can visit the URL below to sign into Avaya Spaces
Calls, Chat, Video, Meetings (including tasks, screen share, posts) are all available in Avaya Spaces

Troubleshooting
If when logging into Workplace with email address you have errors, advising the URL cannot be found.
First access the 46xxsettings URL with a browser from the device to confirm access, example.

If successful.
In Web Manager, select System, Avaya Cloud Services.
Change the Settings File URL Synchronization to Disable and Save.
When enabled it can remove the :411 in the URL of the Avaya Spaces Equinox Cloud Client App.
Once disabled.
In Avaya Spaces, select Apps, Equinox Cloud Client and Edit.
In the Public Settings JSON file.
Add back in the :411 to the URL string and save.
Test logging into Workplace with email address again to confirm working.
