Avaya IP500v2 Embedded Voicemail Not Running - Delete Voicemails & Greetings
Avaya IP Office 500v2 Embedded Voicemail stores the Voicemail files on the System SD card.
If there are too many of these files on the SD card, the Embedded Voicemail can stop running or be affected
Examples include
Open System Status and connected to the IP500v2 system
System Status requires Java to be installed on the PC for it to work
To access System Status, in IPO Manager select File, Advanced, System Status
Confirm the IP address is correct and enter the Username and Password to Logon
Select Voicemail from the configuration tree on the left
The Voicemail Type should be Embedded
If the voicemail is full this might be showing as None
If it is showing Embedded
Select Mailboxes and you can view the User and Group mailboxes on the system
Check the Number of New/Read/Old Messages to confirm if any User or Group has a high number of voicemails.
If a User has a high number of voicemails, you can ask that user to access their voicemails via their handset (message envelope button) select Listen, select New (Old or Saved depending on the location of the voicemails)
From there they can then use the soft keys at the bottom of the screen to Play and Delete (press the More softkey then Delete) to clear the voicemails
If a User has a high number of voicemails, you can ask the User who has the Group voicemails accessible on their handset, to access the group voicemails via their handset (message envelope button) scroll down and select the Group, then select Listen, select New (Old or Saved depending on the location of the voicemails)
From there they can then use the soft keys at the bottom of the screen to Play and Delete (press the More softkey then Delete) to clear the voicemails
Once the voicemails have been deleted, check the System Status Voicemail mailboxes to confirm it has updated and that Voicemail is showing Embedded and is working correctly.
If the mailboxes are not updating correctly, reboot the IP500v2 system then check again.
If the Voicemail is showing None, or the Users cannot access the voicemails via the handset
You can manually delete the voicemails via Manager
In IPO Manager, select File, Advanced, Embedded File Management
Select the IP500v2 system, enter the Username and Password and login
Browse to System SD, SYSTEM, DYNAMIC, LVMAIL
In this folder will be Voicemails and Greeting files
You can select a file and view the Label to confirm which type the file is, then right click and delete the file
Example below is a greeting file for the User J159
Example below is a voicemail file for the User J159
If the folder fails to load due to a high number of files
The other option is to shut down the SD card via Manager, put the SD card in your laptop and delete the files manually, then return the SD card to the IP500v2 and start up the SD card via Manager
In IPO Manager, open the Configuration file
Select File, Advanced, Memory Card Command, Shutdown
Select Yes to the Warning
Select the IP500v2 system and enter the Username and Password and select OK
Select System, OK
After a few minutes, remove the SD card from the IP500v2 and put it in the SD card reader on your laptop.
Browse to the folder \system\dynamic\lvmail
Unfortunately, there is no way to see the Label to identify the type of file it is (Voicemail or Greeting)
But you can see the Date Modified, so there is a high chance that the older files were the greetings that were created when the IP500v2 was first deployed. It’s recommended to leave the older files in the folder and delete the newer ones.
Once deleted, eject the SD card from the laptop and put back into the IP500v2
In Manager, select File, Advanced, Memory Card Command, Startup
Select the IP500v2 system and enter the Username and Password and select OK
Select System, OK
Once done, check the System Status Voicemail mailboxes, to confirm it has updated and that Voicemail is showing Embedded and is working correctly.
